Within the CRM system database members and prospects are categorized by various relationship levels i.e. trial (prospect), guest (prospect), referral (prospect), corporate (prospect), event (prospect), member (active), or former member (expired/cancelled). The purpose of these various relationship levels is to ensure that members and prospects only receive messages specifically tailored to their current relationship status with your facility. Additionally, each member and prospect within the CRM database is aged individually, so it’s easy to identify, schedule, and automate message delivery and reach out to customers individually. Customer aging allows us to ensure that messages are being delivered consistently over a predetermined schedule rather than being deployed to everyone on the same day. We should note that the CRM message delivery frequency is designed to never over-burden a customer’s e-mail inbox. Because the messages are informative and fitness-related they are rarely regarded as sales-oriented therefore, the unsubscribe rate is minimal.

“Special Offer” broadcast messaging is an included feature and can be delivered to specific customer levels. We recommend that the “special offer” broadcast feature only be used periodically to a degree of moderate frequency.

The Virtual Consultant is an email based system and only contacts with valid email addresses should be added.

Before attempting to add a contact to your contact list first search for the contact using the "search by email" search field. To search simply type the first 3-5 letters and/or numbers of their email address into the search by email field and click search. Your search results will then appear.

Always add your contacts telephone numbers so that we can produce phone call follow up lists for your staff.

Trial = someone who registered for a trial pass online. You do not add trials because they are added when they register online. You are concerned with changing a trial to either guest or member. Once a trial visits the club their "level" should be changed to either guest if they did not join or member if they did join.

Guest = someone who visited the club and did not join. If the guest did not register online for the trial pass (see above) and you did not find them in your search you should add them into the Virtual Consultant at the guest "level".

Member = someone who joined the club. If the member did not register for the trial pass, has not visited as a guest before and you did not find them in your search you should add them into the Virtual Consultant at the member "level".

Custom Levels = some locations use custom "levels" for prospects who are not classifieds as a trial, guest, or member. If your location uses custom levels be sure to speak with your facility manager or call us for your locations description for custom level prospects.
